This document provides information on how personal data is processed in connection with the request, purchase, issuance and use of Dolce Italia Finland gift cards, in accordance with Regulation EU 2016/679 General Data Protection Regulation and applicable Finnish data protection legislation.

  1. Purpose of Data Processing

Personal data is processed exclusively for the following purposes

  • issuing and delivering the gift card
  • managing payment and accounting obligations
  • enabling the use and redemption of the gift card
  • preventing fraud and misuse
  • handling customer support requests related to the gift card

Personal data will not be used for marketing or promotional purposes unless explicit consent is provided separately.

  1. Categories of Personal Data Processed

Depending on the type of gift card and delivery method, we may process

  • first and last name of the purchaser
  • email address of the purchaser
  • first and last name of the recipient if provided
  • email address of the recipient for digital delivery
  • gift card amount and reference code
  • optional personal message included by the purchaser
  • transaction and payment reference data

No unnecessary data is collected.

  1. Data of Third Party Recipients

If the purchaser provides personal data relating to a third party recipient, such as a friend or family member, such data is processed solely for the purpose of delivering and enabling the use of the gift card.

The data of the recipient will not be used for marketing communications and will not be retained beyond what is strictly necessary for the management and redemption of the gift card.

The processing of personal data related to gift cards is lawful pursuant to

  • performance of a contract or pre contractual measures requested by the data subject

Where applicable, additional processing activities such as marketing communications are based solely on consent.

  1. Data Retention

Personal data related to gift cards is retained only for as long as necessary to fulfill the purposes described above and to comply with legal obligations

Indicatively

  • accounting and transaction data is retained for the period required by tax and accounting law
  • gift card operational data is retained until the gift card is redeemed or expires, plus any legally required period

Personal data may be shared with

  • payment service providers for payment processing
  • technical service providers involved in the issuance and delivery of gift cards
  • public authorities where required by law

All service providers act under contractual obligations and appropriate data protection safeguards.

  1. International Data Transfers

If personal data is transferred outside the European Union or the European Economic Area, such transfers will occur only where adequate safeguards are in place, such as Standard Contractual Clauses or other lawful mechanisms in accordance with the GDPR.

In accordance with the GDPR, data subjects have the right to

  • access their personal data
  • request rectification of inaccurate or incomplete data
  • request erasure where legally applicable
  • request restriction of processing
  • object to processing based on legitimate grounds
  • withdraw consent at any time where processing is based on consent

Dolce Italia Finland implements appropriate technical and organizational measures to protect personal data against unauthorized access, loss, alteration or disclosure. These measures include secure systems, access controls and contractual obligations with service providers.
